This policy explains what data videocaptions.ai collects, how we use it, and your choices. We collect only what we need to operate the Service and improve it.
An account is required to create and export projects. We collect your name and email address through our authentication provider. When you sign up we also record your IP address and a device identifier, which we use only to prevent abuse of free credits.
We record how the Service is used: pages visited, features used and export events. When you are signed in, these events are linked to your account, including your name and email, so we can understand how people use the product and fix problems. We do not record your screen or your sessions.
We capture errors and stack traces to fix bugs. Error reports include browser details (browser version, operating system) and, when you are signed in, your account ID and email so we can follow up. They do not include the content of your videos.
Payments are handled by our payment provider. We receive your plan, billing status and invoices, but never your full card details.
When you start a project, the video or audio you upload is stored in private cloud storage linked to your account, so you can reopen the project on any device and export it. We extract the audio in your browser and send only the audio to a third-party speech-to-text service to create your transcript. The extracted audio is also kept with your project. Your project data (captions, timing, styling) is saved in your browser and synced to our servers.
Editing and preview run in your browser. Exports render in your browser when possible, and otherwise on our cloud rendering service, which receives your video and project data for the length of the render. Finished exports are stored in private cloud storage so you can download them again.
AI features such as caption grouping, word highlighting, transliteration and caption writing send the text of your transcript, not your video, to third-party AI language model providers. When you use Remove Background, a private, short-lived link to your video is sent to a third-party AI video processing service, which returns a copy with the background removed. When you import a video from a social media link, a third-party service fetches that video for us.
When you use the in-app help chat, your messages, your plan and your credit balance are sent to third-party AI language model providers to answer you. The chat is saved to your account so you can come back to it. If you choose to send a chat to our team, it is attached to your report together with the page you were on and the app version.
Your files are private to your account and never made public unless you share them. We do not use your content to train AI models, for advertising, or for any purpose other than providing the Service to you.
If a file you upload cannot be read or played in your browser, we may keep a private copy of that file so our team can reproduce and fix the problem. These copies are never made public or shared outside our team, are used only for troubleshooting that file, and are deleted once the issue has been investigated.
Our authentication provider uses a strictly necessary session cookie to keep you signed in. Our product analytics use cookies and your browser's local storage to recognise returning visitors. In regions where the law requires consent, we ask first, and until you accept, analytics run without storing anything on your device. Our pages also load Google Tag Manager, which may set cookies of its own. Projects and media are cached in your browser's local storage so the editor works quickly.
We use third-party service providers for authentication, hosting, cloud storage, cloud video rendering, speech-to-text transcription, AI language models, AI video processing, social media video import, payments, email delivery, analytics, error monitoring and abuse prevention. Each receives only the data it needs to do its job and is bound by its own privacy policy. We do not sell your data or share it with third parties for their own advertising.

We email you about your account, exports and billing. We also send product updates and offers, and every one of those emails has an unsubscribe link. Account and billing emails continue while you have an account.
Your uploads, extracted audio, project data and exports are kept while your project exists. When you delete a project, it is removed from your studio immediately and permanently deleted, including its files in cloud storage, after 30 days. Private copies kept for troubleshooting are deleted once the problem has been investigated. Account data is kept until you ask us to delete your account.
You can ask for a copy of your data, or for your account and everything linked to it, including your files in cloud storage, to be deleted at any time by emailing us. We complete requests within 30 days.
The Service is not directed at children under 13. We do not knowingly collect data from children. If you believe a child has provided us with personal data, please contact us.
We may update this policy. We will email account holders about material changes. The "last updated" date at the top reflects the most recent revision.
